Rental Policies & Procedures

Equipment Pick Up and Drop Off Times

Equipment pick up — Equipment will be ready for pickup on the rental date between 9:30am – 11am (Monday to Friday).

Equipment return — Equipment is expected to be returned between 9am and 11am the day following the rental date (Monday to Friday) or the Monday following a weekend.

If pick up or drop off times are outside of these hours, additional charges may apply. Please check with your sales representative for availability.

Shipping

Any shipping of equipment to or from Toronto Projector Rentals will be charged to the renter, including any customs or brokerage costs. Shipping days are considered rental days and will be charged as such.

Please note that we rent equipment across Canada, but currently only facilitate rentals out of our Toronto location. Rentals outside of this area may require additional shipping time.

Payment Terms

All equipment rentals must be paid for in advance via our online portal. We accept:

  • Visa
  • MasterCard
  • AMEX
  • Email money transfer

Cancellation Policy

A rental may be cancelled, free of charge, within 24 hours of the booking to receive a full refund on the original form of payment.

Cancellations requested anytime after booking will incur a 10% processing fee.

Your rental date(s) may be transferred to a different date/time, on a first come – first served basis, at no additional fee. You may also choose to use the rental fee as credit for future use, at no additional charge. This credit must be used within 90 days of the original booking date.

Cancellations requested within the following times are subject to the following fees:

  • Within 2 working days prior to the commencement date of the rental — 50% of reserved rate
  • Within 1 working day prior to the commencement date of the rental — 75% of reserved rate
  • Within ½ working day of, or on the same day as, the commencement date — full reserved rate

Liability

Any damage or loss is the responsibility of the renter, excluding mechanical failure from normal wear and tear. Toronto Projector Rentals is not responsible for any damage or loss resulting from equipment use, misuse or failure. The renter is responsible to obtain their own insurance, proof of which may be required at time of pick-up.

Deposit or Insurance Requirements

All equipment rentals require a Deposit or Certificate of Insurance prior to any item pickup. See our rental insurance requirements.

Individual items or equipment packages that exceed a purchase value of $10,000.00 must have a Certificate of Insurance. Items or packages valued at less than $10,000.00 can be rented with a deposit of their value in lieu of the insurance, processed as an authorization hold on the provided credit card.

The deposit will be refunded 24 hours after the rented item(s) have been returned and evaluated.

Any damages or losses to the equipment will be evaluated by Toronto Projector Rentals and the renter shall be advised of the loss/damage and will be fully responsible for any replacement or repair costs.

ID Requirements

Renting customers will be asked to provide photo identification upon pickup. A copy of your identification will be scanned and saved into our system. All information captured is held in a secure server and not released to the public. Toronto Projector Rentals is the sole owner of the information we collect. We will not sell, share, or rent this information to others. The following information may be collected at the time of quoting and/or pickup:

  • Picture ID (Driver's License / Passport)
  • Full Name
  • Company Name
  • Phone Number (Company or Personal)
  • Complete Address (Company or Personal)
  • Credit Card
